Having an understanding of your booking form is important so that if a guest/agent calls you with a question, you're able to guide them on what to do.
Please familiarise yourself and any reception/reservations staff with the online booking process.
Accessing your booking form.
You're able to access your booking form via your website or through the NightsBridge Home. See our tutorial on How to view your NightsBridge booking form if you need help.
Checking availability:
Select the length of stay by clicking the check-in and check-out day.
Click on Check availability.
To view the availability grid click on View calendar.
Having the availability grid on your website is a great way of showing guests which rooms are available and what rate is charged.
You can choose to not show the availability grid in the general settings.
Room type description
Each room type will have a description and max guests and children.
To view the full room type description, amenities and photos click on Show More.
We recommend images being 1024 x 768 pixels to insure good quality photos being displayed on your booking form. You can use image uploader or the mobile app to upload your photos.
Showing Rates per Room
To view rates click on show rates.
If no specials are in place the rack rate will display.
If you need to discount your current RACK rates, a Special rate override will be displayed with a discount percentage and your old rate will have a line through it indicating the new discounted rate.
If you have special & packages it will show what type of special you have in place. If you have multiple packages in place it will display.
Making a booking
To make a booking make sure you have click on show rates.
Select how many room/units needed by clicking the - or +.
To make a multiple room type booking follow the above steps.
Click on Book now.
Finalising the booking
Once room has been selected, then add the number of adults and children by clicking on + or -.
If no children are accompanying with the accommodation then this is left at zero.
Personal Information
The following fields are required to complete the booking .
1. Surname
2. Phone number
3. Email address
If you would like the property to know more information regarding the booking the other fields can be filled in:
1. Approx arrival time: what time you will be checking in
2. Airline and Flight No: If there is a shuttle service coming to pick you up at the airport and taking you to the property.
3. Special requests: Can relate to a number of things e.g. dietary needs, sleeping arrangements, car service and more finer details of your booking.
Terms & Conditions
The bottom of the booking form will show the booking Terms & Conditions which can be adjusted on your NightsBridge setup.
Payment & Confirmation
Select the method of payment either being Credit card or Bank transfer.
Mark the box that you have read and accepted the terms and conditions.
Click on Confirm Booking.
Payment methods on offer will depend on what you've got set up in your NightsBridge setup.
Keep in mind that if you offer Credit Card as a method of payment, you need to have a way to process the credit card without it being present. You might need a payment gateway - please contact us if you want to know what options are available to you.
After the booking has been made, the booking is confirmed
Once the booking has been confirmed, the guest will receive a booking confirmation email confirming all their details as while as the property details e.g. Banking details, contact details and directions.
Make sure that all your details are correct and that you have step by step directions to your establishment.
The establishment will also receive a booking notification via email and SMS.
The establishment will also receive an email notifying them of the online booking, as well as an SMS (if this has been setup).
