How do I move a booking into an existing account?

This tutorial will explain how to move a booking and existing account for the same client. You may need to do this if a client (e.g. a travel agent) needs a specific booking to be on the same account so that both bookings can be settled on the same invoice, or if a booking is linked to the wrong account.

Open the specific booking you would like to move.

Double-click on the booking that needs to be moved. This will open the Booking Details window for that specific booking.

Click on the "View invoice/payment details" button.

In the Account Information section - click on the calculator button.

This will open a new pop-up window. This window is the main account for this booking where the accommodation will be billed to.
It will show all unsettled bookings, extras etc., under this specific account only.

NOTE: In this scenario, the same client may have more than one account

Double click on the booking that you would like to move

Double click on the booking that you would like to move under the "Items linked to this account" section.

A new pop-window will appear, named "Change the account for item."

At the top, you will see the booking ID, arrival and departure dates, as well as the guest's name. This is the item that you're moving (the one you've double clicked)

 

Select "Move to different account with the same client".

Select the client and click on select

Click on the account that you would like to move the booking into.

NOTE: There may be multiple accounts open and so make sure that you know which account in the drop down the booking should be moved into.

Click on "select" once you have chosen the correct client in the drop down.

You have now moved a booking to another, already existing, account for the same client.

Lastly, save and synchronise all changes.

If the account you're looking for is not listed, it's either already closed/invoiced or the account as been listed under another client.

The bookings will now be on the same account.
