How do I change the booking status of a booking?

This tutorial will show you how to change the booking status of any booking in your NightsBridge calendar (PCBridge), and what the different colours of the booking statuses mean.

Open the NightsBridge calendar (PCBridge)

Open the booking

Double-click on the specific booking to open the Booking Details window.

Change the status of the booking

Click on the drop-down arrow next to Status and select any of the booking status options by clicking on them.

This will change the colour of the booking on your calendar grid to a different one according to which status you choose.

Different booking statuses and what they mean:

  • Light Blue (default booking status) - WAITING FOR DEPOSIT:

This means that no payments have yet been received for the booking and therefore it is not yet confirmed.

  • Dark Blue - CONFIRMED:

This means that some payment (usually the deposit) has already been received for the booking and therefore it has been confirmed.

The booking status will automatically change from "Waiting for deposit" to "Confirmed" when a payment is entered for the booking.

  • Light Pink - PROVISIONAL:

This means that the booking is not yet confirmed and the client needs to get back to you to advise what to do with the booking - whether they want to confirm or cancel.

You can use the Provisional status to set a pop-up reminder for a certain date and time in the NightsBridge calendar (PCBridge) so that you can follow up on the booking.

  • Dark Pink - RESERVED WITH AUTO EXPIRE:

This means that the booking is not yet confirmed and the client needs to get back to you to advise what to do with the booking - whether they want to confirm or cancel.

You can use the Reserved with Auto Expire status to set a certain date and time in the NightsBridge calendar (PCBridge) for the system to automatically cancel the booking, freeing up the room(s) and dates for another booking to be made.

  • Green - PAID:

This means that the booking is paid in full.

The booking status will automatically change from "Waiting for deposit" or "Confirmed" to "Paid" when full payment is entered for the booking and the balance outstanding is zero.

  • Red - OUTSTANDING ACCOUNT:

This means that there is still payment outstanding for the booking.

  • Grey - UNAVAILABLE:

This status is often used to physically block out room(s) and dates in the NightsBridge calendar (PCBridge) to prevent them from being booked when the room(s) and dates in question are not available for booking, i.e. the room(s) are being renovated, the geyser has burst and the room(s) are flooded, etc.

Bookings with an Unavailable status are not included when calculating occupancy in the NightsBridge calendar (PCBridge) using the Occupancy Calculator tool.

  • Dark Yellow- CHECKED IN:

The status will only change if a deposit payment has been added to the booking.

  • Light Yellow- CHECKED OUT:

The status of the booking will change to light yellow once the guest has checked out.

The new booking status will now appear in the field next to Status

Click on save changes

Click on Exit
